CRM connector

The CRM connector enables you to link TraceParts Analytics with your CRM, allowing lead information to be received directly within your CRM system.

At present, the integration is compatible only with the HubSpot CRM. Support for additional CRM platforms may be added in future releases.

Connect your HubSpot CRM to TraceParts Analytics

  1. Go to the “CRM Connector” section in the Administration menu (available only to users with the “Account Administrator” role after consultation with a TraceParts Sales Account Manager).
  2. (Optional) If you have multiple contracts, select the dataset associated with the HubSpot connection.
  3. Click the “Add a HubSpot Account” button.
  4. In a new window, sign in to your HubSpot account and authorize the connection between TraceParts and your HubSpot account.
  5. Once the connection between TraceParts Analytics and your HubSpot account has been established, you will be redirected to the field mapping page to configure the association of fields.

To connect your CRM, you must have the “App Marketplace Access” permission in HubSpot in order to complete steps 4 and 5.

Mapping TraceParts Analytics Lead Fields to HubSpot Properties

On the mapping page, a table allows you to define which HubSpot properties will receive data imported from TraceParts Analytics.

  • By default, predefined mappings are configured between TraceParts Analytics fields and native HubSpot properties.
  • You can choose not to import certain fields by selecting “Do not import.”
  • You can also select custom HubSpot properties. A refresh icon is available at the top of the “HubSpot Property” column to update the list of available properties.
  • Only text-type properties are retrieved and available for mapping.
  • Mapping the “Email” field is mandatory, as it is used as the unique matching key for lead synchronization.

If you do not complete the field mapping immediately after step 5 in the “Connect Your HubSpot CRM to TraceParts Analytics” section, you can configure it later. However, data synchronization to your CRM will not begin until the mapping has been completed and saved.

A warning message will be displayed in the interface until the mapping is configured and saved.

Field Mapping Page

During synchronization, if the email address already exists in HubSpot, the mapped contact properties are not updated.

However, notes are still created successfully and associated with the existing contact.

Data Synchronization

Data synchronization occurs once per day, at the same time your field mapping is saved. The synchronized data includes all records generated between the previous synchronization time and the current synchronization time.

Example:
If you save your field mapping for the first time at 10:18 AM, synchronization will run every day at 10:18 AM. Each synchronization will import data generated between 10:18 AM on the previous day and 10:18 AM on the current day into HubSpot.

Non marketing status

The imported contact is set as “non-marketing” for the “Marketing contact status” property.

Note

It is possible to add a note to the HubSpot contact containing non-mappable fields, linked to the type of event performed in TraceParts—such as downloading a CAD file, clicking on a document, requesting a quotation, or indicating that the user is a new user.

The note is written in English.

The note includes:

  • the type of event

  • various fields related to the event type

The note’s timestamp corresponds to the date on which the event occurred.

Information available in the table

The table displays the following information:

  • CRM name

  • CRM account number

  • Company and contract number to identify the dataset in use

  • Connection status (Connected or Disconnected)

  • If the status is Disconnected, it is possible to reconnect the CRM integration with TraceParts Analytics

  • User who added the CRM

  • Date the CRM integration was added

Available actions:

  • Edit field mappings

  • Delete the connection with HubSpot

  • Re-synchronize the connection if it has been lost
